How do I submit a Vehicle Document?

As a User - log in to Capture Expense

If your organisation requires you to provide vehicle documentation, you will have the car icon Documentation area in the menu bar. 

 

To upload a vehicle document - you will need an online copy of the required document.

Navigate to the car Documents area of the menu.

Click +Document from the right side bar.

 

+ Documents opens files where you can select the required document in Pdf, Jpg, Png.

When a document is selected, a Draft Document is created.

 

Click in the draft bar and a pop-out will appear to allow you to complete the required detail:

Document Type - select from drop-down

Expiry Date - select using the calendar

Description - free type

Save

Next - use the check box to select the item and click Submit. The document will then go to your line manager, or organisation nominated individual, to be approved. 

Note: You cannot submit your mileage expense until your vehicle document has been approved.

Note: By entering an expiry date, a Due to Expiry flag appears when there is less than 1 month to expiry and an email is sent to the user.

Note: If you try to submit a mileage claim before providing the required documentation, and having it approved,  the following pop-up box will appear. 

 

 

Click on the link in the pop-up box to take you to the Upload a Document and complete as above. 

Your mileage claim will remain in Drafts with the flag 'Documents Missing'
